Same-day rentals: 25% off day rentals with same day returns. Pick up at 10 am, return before 5 pm.
1 day rate: is charged for equipment possession for 24 or fewer hours.
Weekend: is charged at a 1 day rate, if you pick up between 3 pm and 5 pm Friday and drop off by 10 am - 12 pm Monday. Special conditions apply to long weekends, statutory holidays, etc. (if Monday is a holiday, Tuesday from 10 am-12 pm is the return time).
Additional charges apply to earlier/later scheduled pick-ups/drop-offs.
1 week rate: is charged at a 3-day rate for a 7-day period. Most rental houses have a 4 day week.
10% off CAPIC Members, full-time students (with valid ID), and seniors.
No show: if you are a no show or if you do not cancel the order by 24 hours before your scheduled pick-up, you will lose your deposit (which is 50% of the rental)
Late returns: for each day that equipment is not returned without contacting us with a rental time extension request, each subsequent rental day will be charged at (double rate).
Incomplete returns: To avoid incomplete returns please use our printed equipment checklist (provided on day of rental). Failure to return all rental goods complete (lens caps, cables, reflectors, etc) will incur continued rental charges for that item until all components are returned. Replacement charges apply immediately to lost items. Rental charges never go beyond double replacement value.

Hours of operation: Monday - Friday 9:30 am - 6 pm, by appointment.
To BOOK, we require: a completed booking form, deposit (payment options are outlined in agreement), and a CaptureTek rental agreement on file. Forms are available upon request.
Booked earlier pickups / deliveries or later drop-offs / deliveries incur an hourly rate at 25% of the daily rental fee.
Drop-offs: Equipment rental drop-offs can be dropped off between 10 am - 12 pm on the due date. Late rental returns are charged 25% additional per hour.
Pick-ups: Our normal equipment pick-ups are weekdays from 10 am - 5 pm. For pick up we require: a completed booking form, deposit, and a Capturetek Rental Agreement on file. If you need to make arrangements outside of that time, we will try to accommodate you; however, additional charges may apply. Early pick-ups are charged at 25% of day rate per hour.

Up to a carload of equipment, delivered to you within GTA during regular hours, weekdays, between 10 am-3 pm: $30 each way. Larger deliveries can be arranged at extra cost.
Off-hours deliveries can be arranged at an additional cost (please inquire).
Time in transit is counted as rental time.
For deliveries at least one person of your production should help with loading and unloading securely at destination location. One person always has to be within sight of an unlocked vehicle.
Driver extra waiting time is billed at $1 per minute.
You are welcome to pre-arrange everything, and send a courier for your second and subsequent rentals with us, as long as there is proper insurance coverage for transit.

1. Renter agrees to examine all items prior to taking possession of them, and acknowledges that the items, quantities, prices, and pickup / return date and time are correct as ordered and items are in good working condition. Any existing condition should be noted on equipment list.
2. For each rental, a separate, one-time booking form is used to describe each item, its condition, and rental price. The renter, or authorized parties acting on their behalf (email authorization is fine), will need to sign the equipment list. If you are sending a courier / assistant for the equipment, please make sure we have the document, before sending them.
3.Minimum Transaction Charge:
We are a solutions-based business that does not operate as a typical retail business, instead, catering to each of our clients on a one-on-one basis. In the effort to keep our rental prices low, we have a minimum charge per transaction of $100. Unused amounts are credited to your customer account, and have no expiry.
4. Equipment must be returned with the proper ID tag or sticker that it was paired with. Failure to return tag, or removal of sticker, will result in a $20 replacement charge.
5. All rental fees and any other charges owed to BOA SOLUTIONS INC are subject to 1.5% per month (18% per annum) interest.
6. BOA SOLUTIONS INC may charge any and all outstanding amounts due to them to the Renter’s credit card(s), and renter agrees that any proven charges outlined on site or agreement, are non-disputable. If rental charges and penalties cannot be processed on the card in full, any balance can and will be recovered through other means available, including seizure of assets.
7. Cancellations:
Equipment rentals will be charged for the full booked time if cancelled within 48 hours of the confirmed booking start time. Cancellations prior to that 48 hours will result in a loss of deposit on the rental (at least 50% of full booking).
Equipment replacement:
CaptureTek assumes no liability resulting from the use, misuse, or failure of any item rented. Renter agrees to operate equipment in accordance with the manufacturer’s instructions. PDF copies of owner manuals and latest versions of typically included software are available for download, upon request.
The Renter is not responsible for mechanical failure caused by normal wear and tear (i.e. natural burnout of flash tubes, monitors, screens, etc). If the device has been subject to shock or mishandling, the full replacement cost will be charged. Failure to voluntarily report equipment damage, or if there is any type of problems having the damage covered you may be charged a penalty.
Full replacement is based on a worst-case scenario (total loss), which does not include shipping fees, taxes, and administrative time. Replacement cost may be lower if the Renter coordinates item replacement/repair while paying 25% of the applicable rental rate per day until delivery of replacement.
Under no circumstances should the Renter open any sealed enclosures, or attempt to repair equipment themselves without written authorization from Boa Solutions Inc. Renter must continue to pay full rental fees until the same equipment is operational and available for rent, and is capped at 50% of the stated replacement cost, if the original equipment can be repaired to fully operational condition and spec.

Deposits & Insurance:
Insurance coverage by Renter is mandatory for high-value or high-risk equipment including digital cameras, digital backs, computers and lighting, if the Pre-Authorization cannot cover the replacement value. The replacement value includes typical extra costs incurred by us for dealing with the replacement of that item. In the case of a substantial loss, depending on current pricing and availability, the final cost may differ.
Option A) (Preferred, full details in agreement):
The Renter creates an account with BOA SOLUTIONS INC and includes BOA SOLUTIONS INC as the sole ‘‘loss payee’’ on their certificate of insurance. In addition to the insurance, for first-time Renters, BOA SOLUTIONS INC charges a $1,000 Pre-Authorization to the Renter’s Mastercard or Visa card. (This is only applicable to items with replacement value over $1,000, otherwise would be a pre-authorization of the same replacement cost.)
Option B) Renter provides a proper rider under their own insurance, for the full replacement amount of the rental, or for frequent rentals, a permanent rider on file that will cover those rental amounts.
Option C) If Renter has no insurance available, there are 2 options available:
For rentals of less than a week, each rental on the Renter’s credit card a Pre-Authorization for the full amount of the equipment value is held. Please note that the available card credit limit must surpass the replacement cost, and while the hold is in place, the renter’s credit limit will be decreased by the amount of the hold for other uses of the card.
The Renter chooses insurance coverage under BOA SOLUTIONS INC, in which a credit card Pre-Authorization of $1,500.00 plus an additional 20% of the rental fee is charged to cover our extra insurance costs and risk.

If any piece of rental equipment is malfunctioning, please inform CaptureTek as soon as possible. Full contact info, including emergency and backup cell numbers, are on rental agreement.
Please keep in mind that most problems can be solved over the phone or by email. If we must make a service call to your location, and / or send a replacement, and the problem is found to be caused by operator error, a service charge will be levied in addition to the regular rental fee. Your best bet is to always have one of our techs at your side for the shoot, and they have access to all resources and services to have minimal downtime and issues with your shoot.

If you need to remove bulbs because the lighting will be subject to greater amounts of shock or vibration during transport, you should use a clean cloth, or paper towel to handle the bulb. At no point should there be contact with the bulb with bare hands or not clean material, as this will shorten bulb life, or may result in a bulb exploding. Use of lights in less-ventilated enclosures, grids, filters, etc will shorten lifespan, especially if strobes are also fired often at high power levels. Using "slow" recycle setting is generally recommended, unless "fast" recycling speed is really needed.
Batteries, including portable power solutions, should always be charged as soon as possible after being used. If you could not charge it up before returning item, please let us know to charge it. Try not to run the batteries completely down, as that shortens the lifespan of the battery, and ultimately affects rental prices.
Lenses should always have front and rear caps on unless being actively used. Lenses should never be facing up without a lens cap. If a lens is provided with a protective filter, you can only remove it with written authorization. Use lens hoods whenever possible for better quality and protection. If a lens is accidentally smudged, or water droplets make contact with surface, please follow our specific instructions in cleaning, or we will be happy to do the cleaning.
Sensors on digital cameras should never be cleaned by anyone other than an expert, with the proper supplies. Medium-format digital backs that are rented with a camera body, should not be removed from that camera body, unless you have good reason and written permission to do so. Please take extra care with properly wrapping cords, and making sure that they are not pulled, pinched, or stressed, as USB / FireWire / Flash sync port repair can be costly. Camera bodies should always be stored with body caps. Keep live flash sync, tether, head cables, and AC power cords physically separated, and not crossing over each other, for optimal stability, performance, and image quality.
Equipment should not be subjected to extremes of heat, cold, or moisture. If you are not sure about how the conditions of your production may affect equipment, please ask. We have special protective gear that can be rented for cameras if possibly being subjected to water spray, snow, or dust.
